Chapter 6 — Bond Application & Documentation

What Project Documents May Be Relevant to a Bond Application?

Depending on the bond and the obligation, project documents may help establish what is being secured and on what terms. The examples below are illustrations only — no bond application requires all of them.

Direct answer

Project documents matter when they help identify the obligation, the parties, the amount, the timeline or the prescribed security. Which ones are relevant depends entirely on the bond requested and the transaction behind it.

Documents that may be relevant

Treat every item as an example rather than a requirement:

  • Notice of Award — where an award has been made.
  • Notice to Proceed — where work commencement is documented.
  • Contract — the agreement creating the obligation, with its annexes.
  • Purchase order — in supply arrangements where the order defines the obligation.
  • Bidding documents — where the requirement arises at tender stage.
  • Project schedule — where timing bears on validity or duration.
  • Scope of work — where the obligation is defined by scope.
  • Bill of quantities — where amounts or basis are derived from it.
  • Other project-related documents — variation orders, progress records or correspondence where genuinely relevant.

How to work out what is relevant

Start from the security requirement itself. The clause usually points to the obligation, the amount or basis, the validity and any prescribed form. The documents needed are the ones that establish those elements. Important considerations

  • No universal document list applies to every bond, project or insurer.
  • This guide does not state any government documentary requirement, form or reference. Applicable requirements should be confirmed from the current official source and from the applicable insurer.
  • The applicable Surety may request additional or different documents at any stage.
  • Project documents should be submitted only through the appropriate SuretyPH channels, and are handled in accordance with the applicable Privacy Notice and consent terms.

Key considerations

Evaluation, underwriting, documentary requirements, terms, approval and issuance remain functions of the applicable insurer or Surety. SuretyPH provides information, accepts inquiries, helps organise supporting documents and communicates status; it does not determine whether documents are legally sufficient, underwriting eligibility, bonding capacity, premium, collateral, approval or issuance.

Key takeaway

Relevant project documents are the ones that establish the obligation, parties, amount, timing and prescribed security. The examples here are illustrative; no application requires all of them.
